12 items to verify before listing any digital download for sale.

Digital downloads succeed or fail on quality. A buyer who downloads a low-resolution, poorly named, badly packaged file leaves a 1-star review and never buys again. This 12-item checklist covers everything: file format, resolution, DPI, color space, naming, packaging, and presentation. Run through it before every listing.

Five minutes of validation prevents weeks of refund requests and negative reviews.

The 12-Item Quality Checklist

Before listing a digital download for sale, verify these 12 quality standards.

Item Requirement
1. File FormatPNG (transparency), JPG (photos), or PDF (multi-page) — match buyer expectations
2. ResolutionSufficient pixels for advertised print size (e.g., 8×10 = 2400×3000 minimum)
3. DPI Metadata300 DPI for print files (stamped in metadata)
4. Color SpacesRGB for digital display + most home printers
5. Aspect RatioMatches advertised size (8:10 = 4:5, 11:14 = 11:14, etc.)
6. FilenameDescriptive, no spaces, includes ratio (e.g., "boho_floral_8x10.png")
7. File SizeReasonable for format (PNG < 10MB; JPG < 5MB; PDF < 20MB)
8. Bundle ContentsAll advertised sizes/variants included (e.g., 5 ratio variants for wall art)
9. ZIP PackagingFiles organized in clear folders if multi-size; ZIP under 200MB
10. Instructions IncludedREADME/PDF explains print sizes, recommended print shops, paper types
11. No WatermarksFinal files have NO watermarks, drafts, or test text
12. Test PrintPrint at home or via a sample to verify quality before listing

Why this matters

Digital downloads have zero return cost — the buyer keeps the file regardless. So if quality is poor, they request a refund AND keep the file AND leave a bad review. Three negative reviews tank your listing's ranking and visibility. The cost of a bad file is enormous compared to the 5 minutes it takes to validate. This 12-item checklist catches resolution issues, format mistakes, missing files, and packaging problems before customers see them. Sellers who skip this checklist average 4.6 stars; sellers who use it average 4.9+.

When you'd use this

  1. Before listing any new digital download for sale. Run all 12 items every time. 5 minutes of validation.
  2. After updating an existing listing's files. Re-validate so the new files match all standards.
  3. When troubleshooting a low-rated listing. A 4.7-star average with a few 1-star reviews? Check files against this list — find the failure point.
  4. When training a VA or contractor on file prep. This is your standard operating procedure document.

Common mistakes

1. Listing files at smaller resolution than advertised

If you advertise "8×10 print-ready," the file must be 2400×3000 pixels minimum. Lower = blurry print = refund request.

2. ZIP files with cryptic filenames buyers can't decode

"file001.png, file002.png" is useless. Buyers want "wall-art_8x10.png, wall-art_11x14.png" so they know what they're printing.

3. Missing instructions for non-technical buyers

Many Etsy buyers don't know what 300 DPI means or where to print. Include a README with print size table, recommended shops, and paper suggestions.

4. Forgetting to remove watermarks from final files

Watermark in your listing preview = good marketing. Watermark in the final downloaded file = customer complaint. Strip them before packaging.

5. Never test-printing your own products

If you've never printed your file at full size, you don't know how it looks. Order one sample print per design — small cost, huge quality assurance.
